You will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands, creating presentations and both English and Bahasa, executing functions of personal assistant to our executive team.
Responsibilities:
• Organize office and assist associates in ways that optimize procedures
• Sort and distribute communications in a timely manner
• Create and update records ensuring accuracy and validity of information
• Schedule and plan meetings, appointments, domestic & international traveling
• Monitor level of supplies and handle shortages
• Resolve office-related malfunctions and respond to requests or issues
• Coordinate with other departments/partners/clients to ensure compliance with established policies
• Maintain trusting relationships with suppliers, customers and colleagues
• Perform receptionist duties when needed
• Translate correspondence & presentations when needed
• Create presentations when needed
Requirements and skills:
• Bachelor degree
• Fluent English
• Proven experience as an office assistant, personal assistant, virtual assistant or in another relevant administrative role
• Business etiquette awareness
• Working knowledge of office equipment
• Thorough understanding of office management procedures
• Excellent organizational and time management skills
• Analytical abilities and aptitude in problem-solving
• Excellent written and verbal communication skills
• Proficiency in MS Office
• Knowledge of “back-office” computer systems (ERP software) would be a plus
• Fast learner
• Comfortable with time pressure and multitasking
