Job Description

Job Summary:

The primary responsibility of the HR Ops Manager / HR Shared Services Manager is to lead the HR Operations team, which serves as the first point of contact for HR-related questions with a primary focus on customer service delivery and to ensure an effective back-end operation is run with seamless collaboration with inter-departments.


Job Responsibilities:

Compensation & Benefit

  • Work closely with external consultants or independently to ensure the company is fully compliant with Indonesian Labour Law.
  • Work closely with the Finance & Accounting team on payroll and other employee expenses accounts.
  • Manage and support the benefit benchmarking as per the latest industry trends
  • Lead on management, administration, and process of other corporate employee benefits (i.e., medical insurance, grab benefit, etc.)
  • Providing benefits orientations and enrolments
  • Manage the company payroll and other HR compliances related to personal income tax and social securities in accordance with company policy and regulations.

HR Employee Services

  • Ensure the team provides a high level of customer service delivery.
  • Partner with HR Business Partners to drive a high-performance culture through performance management.
  • Manage and maintain HR Service Level Agreement (SLA)
  • Implement new employee initiatives for employee engagement and productivity.
  • Manage, lead, and develop the HR Operations / HR Shared Service team to ensure a positive and efficient customer service experience through the effective delivery and execution of HR services and processes.

Policies and Guidelines

  • Develop and maintain high-value HR and employee processes and policies
  • Develop and maintain employee handbook (Company regulation, Compensation & Benefit charts, etc.)
  • Annual re-evaluation of policies for the company’s efficiency and effectiveness purposes

Personnel Administration

  • Maintaining employee files to ensure accuracy and compliance.
  • Responsible for HR-related documentation, such as contracts of employment, personal files, personal income tax records, etc
  • Ensuring the integrity of HR Management System (Darwin Box)
  • Ensure accuracy and stability of HRMS
  • Managing employee leave records, updating and reporting to manage (on HRIS system)
  • Ensure the relevant HR database is up to date, accurate, and complies with legislation.

HR Projects

  • Developing and maintaining user manuals of the system
  • HR Management System / Darwin Box Implementation
  • Other HR projects will be assigned from time to time.

Vendor and stakeholder Management

  • Source and onboard new vendors working closely with procurement.
  • Manage vendor relationships.
  • Manage existing vendors and collaborate with finance and procurement to ensure smooth HR operations.
  • Support other company-wide initiatives.


Job Qualifications:

  • A Bachelor’s degree in Business Administration, Personnel Management, Law, or Psychology. Master’s degree would be preferred.
  • At least 6-8 years of progressive experience in HR Operations & Rewards Management in a high-growth company. Start-up experience is preferred.
  • Strong knowledge and hands-on experience in Microsoft Excel and PowerPoint presentations.
  • Experience with team management and development.
  • Previous working experience in a global environment would be an advantage.
  • Demonstrated decision-making capability and ability to work without supervision.
  • At least 2 years of leadership experience.
  • Fluency in English.
  • Having exposure to change management.
