We are on the hunt for a fun and dynamic operations/project manager to join our growing team.
If you’re the one for us, you'll need to be super-organised, naturally people-focused, a spreadsheet and processes advocate. Perhaps most importantly, you’ll love being a part of a growing agency. You’ll be tasked with developing and supporting our agency team across a vast range of projects.
This position reports to the directors in the business and operates across our business.
Working Hours:
- 6 am to 2 pm UK time with 30 minutes for lunch
RESPONSIBILITIES
You'll be responsible for ensuring that our team is supported and running smoothly – for example, you’ll ensure briefs are written on time, people are happy, all resources are booked, processes are being continually refined and all the commercial numbers are recorded and reported
- Keeping track of project and retainer servicing and internal creative department budgets
- Negotiating rational delivery timelines
- Scoping out projects and determining the feasibility of producing projects work across a variety of outputs
- Managing recruitment and applicant screening
- Keeping directors updated on the creative capacity and output of the studio
- Being the team’s biggest supporter, celebrating wins and coaching them through challenges
- Project scheduling and planning workflow
- Set the vibe in the studio so everyone loves coming to work
- Building and foster relationships with your team and dealing with issues when they arise
- Identifying tendering opportunities and planning new business efforts
- Managing projects within the organisation
- Ensuring the office runs smoothly: answering phones, diary management, replenishing food/drink supplies, managing equipment, etc.
- Managing workloads and finding extra internal and external freelance support when needed
- Updating and growing our network of creative contacts
- Being a point of contact for briefs
KEY SKILLS
- Someone who naturally gets people onside and who is also not afraid to be the one to push back and go against the flow when necessary
- Previous experience as an operations manager or related field
- A calm, friendly and hardworking disposition. Excellent interpersonal and communications skills. We need positive, adaptable, proactive team members, eager to help, take on responsibility and able to work on their own initiative
- Flexibility and adaptability to changing workloads. The capacity to prioritise tasks and work under pressure. You will have the ability to manage multiple projects at any one time
- Agency experience highly desirable with a production background
- A borderline obsession with spreadsheets, resourcing figures company financial health
- Ability to understand the working styles and preferences of a range of brands
- Excellent people, organisational and time management skills
- Relevant qualifications or equivalent experience, ideally with some finance/HR/project management experience (although not essential)
