Job Description

Administration & Finance Officer : Placement Kupang (Nusa Tenggara Timur) – Yayasan Bina Tani Sejahtera

The Adm & Finance Officer role is working with and reporting to the Project Manager. He/She will have responsibility for financial administration, maintaining records for all transactions, preparing monthly and quarterly financial reports and processing reimbursements.


Job description –General responsibility:

  1. Check related documents and process data for advance requests & reports, reimbursements, etc. submitted by staff who in-charge of these projects.
  2. Responsible for the administration within travel arrangements (ticket, hotel, visa, catering, meeting venue, etc.) related with project’s visits and activities.
  3. Ensure good and correct information to YBTS & Donorwith review, monitor and provide data that can be counted, based on activity record
  4. Proactive, accurate, timely and high-quality administrative work to the existing and to ensure proper filing of all assigned programs/projects in hard and soft copies.
  5. Comprehensive secretarial, administrative, financial administration and bookkeeping support to the Program Division.
  6. Maintaining the communication with the teamand being responsible for the overall integrity of the administrative requirement of the projects in coordination with Finance & Accounting Divisions related YBTS rules.
  7. Design, establish and maintain a central filing system for administration and ensure quick retrieval of files when needed.
  8. Assist the Finance & Accounting Spv and Project Manager in monitoring project budget and financial expenditures related to the activity and work-plan.
  9. Coordinate with the Finance and Administration Division to ensure that all bills related projects expenses are paid on a timely basis.
  10. Assist the Finance & Accounting Spv and Project Manager in preparing the evaluation, annual and all kinds of reports on the administrative matters.
  11. Review and update expenses for Finance & Accounting Spv and Project Manager report of spending update for these programs.


Skills and requirement:

  1. Hold a diploma or bachelor degree in Finance/Business Administration or related/relevant field.
  2. Minimum 1 – 2 years of experience in Finance and Administration.
  3. Detail oriented
  4. Experience working with teams (internal) and also external partners
  5. Communication and documentation skills
  6. Computer skills (word, spreadsheet, power point, etc.) and web/internet literacy
  7. Languages: Bahasa Indonesia; English is a plus
  8. Be willing to be assigned in areas/locations of YBTS working areas across Indonesia.
  9. Can ride a motorcycle and have a minimum SIM C.
  10. Local Domicile is preferred
