Job Description

POSITION SUMMARY

The Shared Services director is responsible for all shared services provide by the office in Jakarta to the other departments. such as BD, Drilling, Projects and Operations. The main shared services include Human Resources, IT, Legal, finance, procurement & travel coordination for all the activities performed by the company in Indonesia. The Office manager is the direct manager of team leaders and employees in the office in Jakarta. The shared services manager is reporting to SVP Projects and Indonesia.


ESSENTIAL FUNCTIONS

  • Oversee all commercial aspects of the shared services
  • Ensure the other departments are getting the required quality of service per their needs. Maintain open communication and actively ask for feedbacks
  • Ensure the shared services are properly documented and executed in terms of compliance, safety and quality
  • Oversee/supervise the processes and procedures managed by the office
  • Manage and direct office personnel
  • Prepare, Review and oversee the annual budget for the office activities
  • Establish, implement and maintain working processes and procedures
  • Recruit and train the office personnel
  • Negotiate/approve all contract with clients, contractors and suppliers required for the shared service
  • Oversee the implementation of global IT systems
  • Sign and approve PO, invoices, change orders and bank transfers
  • Ensure smooth coordination with all interfaces within and outside of the company
  • Provide reports on a periodically basis as required


OTHER RESPONSIBILITIES

  • Properly file and document all office related documentation
  • Reporting to executive management - progress, risks, cash flows and any aspect which is part of the proper operation of the company
  • Represent the company in front of Suppliers, Contractors and authorities
  • Be an integrated management member in Indonesia management


EDUCATION, EXPERIENCE, AND SKILLS REQUIRED

  • Must have at least 10 years’ experience in working in a managerial position in an organization with at least 50 employees, 2 years at least in a global company
  • Must be able to read, write and speak English at a level which will permit the employee to accurately understand and communicate information to safely and efficiently perform the job duties
  • Must have 3 years of experience in developing working processes and procedures
  • BA/BSc academic degree
  • Ability and willingness to travel if required
  • Must be able to use and acquire knowledge of a variety of computer software application in word processing, spreadsheets, database and presentation. Must be proficient in MS Word, Excel and use of the Internet
  • Directly manage personnel, be able to create long term professional relationships with employees, managers, suppliers and contractors
  • Must have at least 5 years’ experience in direct management of teams in the industry
  • The ability to assess situations and choose the best alternative including initiating these alternatives
  • Read, write and speak Bahasa


PHYSICAL REQUIREMENTS

  • The ability to present in front of an audience of 30 people
  • Must be able to frequently travel to project sites and periodically oversees travel
  • The ability to join meeting at late hours.
