HSBC Digital Business Services (DBS) is a pivotal part of the Group, providing essential operational and technical support to our global businesses and helping improve customer service and efficiency. DBS combines global expertise and technology to help keep us ahead of the competition.
We are currently seeking an experienced professional to join this team in the role of Secretary to Operations and IT Director.
Responsibilities:
- To prepare and disseminate correspondence (letters, memos and/or reports), often of a confidential nature
- To assist Ops & IT Director for daily administrative activities and assisting Corporate Banking team when necessary which include handling interview schedule and VC arrangements
- To maintain Ops & IT Director calendar, schedule meetings and conference rooms, prepares and sequences agendas
- To processes cash requests, expense advances and reports and other routine requisitions to pay bills, expenses and/or order supplies
- To coordinates travel arrangements, meetings, and other relevant arrangement for Ops & IT Director and Digital Business Services team as well as its stakeholders
- To organize inventory management such as maintaining adequate office supplies; stationaries, etc.
- To manage communication with customers (both internal and external)
- To manage all inward telephone calls to Ops & IT Director, takes messages, and/or redirect calls
- To organize Human Resources related activities and events such as organize presentations, meetings, conferences, gatherings, training programs, outings, etc.
To be successful in this role, you should meet the following requirements:
- High degree of multi-tasking and time management capability, initiative and ability to work independently
- Minimum bachelor degree
- Proficient in English writing and communications
- Proven work experience as a secretary or administrative assistant (min 5 years)
- Good customer service and interpersonal skills to be tactful in her dealings with people
- Demonstrate a high degree of credibility and integrity
