Job Description

Job Title: Personal Assistant to the Director


Location: Hybrid


Job Type: Full-time


About the Company:


We Run Digital operates in the Marketing & Advertising industry. We are seeking a dedicated and tech-savvy Virtual Assistant to provide comprehensive support to our Director. This role will involve a mix of virtual/digital tasks and personalized support.


Responsibilities:


Virtual/Digital Tasks:


  1. Managing Email and Calendar: Organize and respond to emails on behalf of the Director. Schedule appointments, meetings, and manage reminders.
  2. Document Preparation and Management: Assist in preparing, editing, and storing reports, presentations, contracts, and maintaining a digital filing system.
  3. Virtual Collaboration and Communication: Coordinate with team members, departments, and external partners.
  4. Online Research and Analysis: Conduct research on specific topics and summarize findings.
  5. Customer Relationship Management (CRM): Maintain CRM systems.
  6. Financial Tracking and Reporting: Assist with budget tracking and financial reporting.
  7. Project Management Support: Provide support in tracking various projects and ensuring timely updates.
  8. Marketing Assistance: Help coordinate digital marketing strategies, if applicable.


Personal Tasks:


  1. Travel Planning: Assist with travel arrangements, including flights, accommodations, and transportation.
  2. Personal Errands: Coordinate and run personal errands remotely, such as online shopping or making personal appointments.
  3. Personalized Communication: Handling personal and confidential correspondence.
  4. Special Requests: Assisting with any other personal requests or tasks assigned by the Director, within reason.


Qualifications:


  1. Experience: Previous experience as a Virtual Assistant or Personal Assistant, ideally supporting executive-level staff.
  2. Education: Bachelor's degree or relevant experience/certifications.
  3. Technology Skills: Proficiency in MS Office Suite, Google Workspace, Asana, Canva and virtual collaboration tools.
  4. Communication Skills: Excellent written and verbal communication skills.
  5. Discretion and Integrity: Ability to handle sensitive information with confidentiality.
  6. Flexibility: Willingness to adapt to various tasks and learn new skills.
