Job Description

Hi everyone!

Atlas Beach Fest is founded by PT. Kreasi Bali Prima, we provide the experience of a unique atmosphere – beach club, culinary ground, lounges, and nightclub – professionally concepted.

We are seeking an experienced Personal Assistant (PA) to provide dedicated support to our DOSM on a daily basis. As a PA, you will play a crucial role in managing their schedules, coordinating activities, and ensuring smooth communication and workflow. The ideal candidate should have previous experience as a PA in the hospitality industry and possess exceptional language skills, including fluent English and Indonesian (Japanese/ Mandarin language proficiency is highly desirable).


Responsibilities:

  • Communication and Correspondence: Serve as a primary point of contact for internal and external stakeholders, handling incoming communications with professionalism and discretion.
  • Calendar and Schedule Management: maintain, prioritize and manage the calendars, including scheduling appointments, meetings, and events.
  • Proactively handle any scheduling conflicts, changes, or adjustments.
  • Travel Coordination: Arrange domestic and international travel logistics, including flights, accommodations, visas, and transportation. Prepare detailed itineraries, meeting agendas, and travel-related documents. Anticipate and address any travel-related needs or challenges.
  • Handle confidential information and sensitive documents with utmost confidentiality and discretion.
  • Meeting and Event Support: Coordinate and organize meetings, conferences, and events, both internally and externally.
  • Prepare meeting agendas, collate necessary materials, and ensure timely distribution to participants. Attend meetings, take minutes, and follow up on action items to facilitate effective communication and execution.
  • Conduct research and gather information as requested to support decision-making and strategic initiatives.
  • Coordinate and prioritize daily activities to optimize their time and ensure efficient workflow.
  • Administrative Support: Provide general administrative support, including managing documentation, filing systems, and office supplies.
  • Draft and prepare emails, letters, reports, and other business correspondence on behalf of the Co-Founders.
  • Assist with expense management, budget tracking, and other administrative tasks as needed.

  • Confidentiality: Demonstrated ability to handle sensitive information with discretion and maintain strict confidentiality.
  • Language Skills: Expert fluency in English and Indonesian is essential. Proficiency in Japanese/ Mandarin is highly advantageous.
  • Adaptability: Flexibility to adapt to changing priorities, work independently or as part of a team, and handle unexpected situations with composure.
  • Experience: Minimum of 3-5 years of proven experience as a Personal Assistant, preferably in the hospitality industry.
  • Technology Proficiency: Proficient in using Microsoft Office Suite/ Google Suite and other relevant software for scheduling, document preparation, and communication.
