Job Description

One of our client (Government sector) currently looking for Administrative Support Officer for 3 months contract based only.


ROLE SPECIFIC RESPONSIBILITIES


  • Instruct all personnel on accounting practices and any adjusted practicesrelated to expenditure
  • Assisting Office Manager
  • Coordinates all travel, visa, Covid-19 and accommodation arrangements for theoffice and other delegations when required; prepares travel proposals anditineraries; compiles and reconciles travel expenses and receipts.
  • Maintain monthly office accounting/book keeping/Account payable invoices –manage petty cash/cheque and reconcile monthly expenditure reports andstatements
  • Comply with the department’s record keeping and reporting requirements
  • Ensures conformity with Indonesian Government labour, immigration, publichealth and safety workplace regulations
  • Maintain office filling system and file all correspondence
  • Maintains office services by organizing and coordinating office operations andprocedures; controlling correspondence including collecting and distributingincoming mail on a timely basis; reviewing and approving supply requisitions;assigning administrative functions
  • Maintenance of all locally employed staff leave records
  • Support the planning and organization of company events, includinginbound/outbound missions
  • Responsible for telephone and in-person enquiries including meeting andgreeting guests, taking messages and arranging courier services as required aswell as coordinating meeting logistics
  • Maintain and monitor an office budget and prepare vouchers and cheque forpayment/monthly bills
  • Administration and maintenance of office premises and assets
  • Maintain office supply inventory and order additional supplies as needed.
  • Manage IT support and troubleshooting as required
  • Maintain and update regional database system (customer relationshipmanagement)


JOB REQUIREMENTS

Essential

  • A high level of proficiency with Microsoft Office, especially Outlook,Word, Excel, must be comfortable working with spreadsheets
  • Good organizational skills, ability to prioritize and multi-task
  • Demonstrated experience providing high level support at officemanager level
  • Good written and verbal communication skills
  • Knowledge of office administration responsibilities, systems andprocedures
  • Demonstrate ability to deal with sensitive and confidential matterwith tact and discretion
