MENTARI- Programme Coordinator
- Supervise and responsible for the work delivered under the Finance, Administration, Procurement, and Contracts function daily, including but not limited to:
- Prepare, together with the Programme Manager, the financial section of Quarterly and Annual reports, BAST (Berita Acarah Serah Terima) and KAK (Kerangka Acuan Kerja) to government counterparts.
- Setup, manage, and update the Programme’s Management Manual regularly.
- Actively manage risk, together with the team leader and consortium partners, within the project in relation to project activities.
- Support each Strand Lead with the review and finalization of Terms of Reference and budget for each activity under the Workplan.
- Manage the recruitment and hiring of Consultants, including due diligence and salary negotiations, and ensure proper approval is received from the Client.
- Support the day-to-day activities at an operational and financial level to ensure all strands have the necessary resources and
- Support the management of external audits and ensure accurate record retention with subcontractors and other stakeholders when required.
- Ensure sufficient approval is received from the Client for any change from existing SOPs and FCDO regulations.
- Lead any Risk and/or Security issues and escalate accordingly to the management and Client;
- Manage monthly forecast and invoicing to Clients following the agreed schedule.
- Process items that require the Client’s approval including activity, travel, and personnel, and make sure all approvals are archived.
- Prepare the accruals process for the end of the month period;
- Prepare, with input from TL and Strands, the forecasting on a monthly basis and providing feedback;
- Monitor expenditure against approved activity budgets; report on a monthly basis the status of activity expenditure and forecast.
- Fluent in English and Bahasa Indonesia, both for oral communications and writing.
- Excellent computer skills (including experience working with MS Excel, Word, Outlook, and power point).
- Ability to work independently and as part of a team.
- Strong management skills with the ability to mentor, coach, lead, develop and evaluate staff; and
- Experience working with international donor-funded projects, experience with FCDO will be an asset.
- Sound problem solving and decision-making skills.
- Excellent verbal and written communication skills and the ability to communicate with a wide range of stakeholders from diverse backgrounds.
- Strong knowledge and practical experience in project management methodologies and techniques.
- Experience in leading procurement, contracting, budgeting and compliance requirements for development projects is bonus.
- Very strong financial acumen and the ability to interpret and analyse financial reports.
