Job Description

Roles and Responsibility:

Paralegal:

  • Compliance & Ethics Training TPDD “champion”: Provide support for third party due (TPDD) training; support TPDD requestors
  • Project Support Global/Sector/BU/MU projects as needed.
  • Corporate Secretary: Ensure execution of power of attorney (POA) of each BoD of all entities
  • Administrative Tasks: Organizing meetings (e.g. conference room arrangements, scheduling), Printing of required documents for meetings, Screening mail and document
  • Project Document management system (Contract database) System
  • Legal team T&E Budget Tracking
  • Corporate Secretary Monitor / Update corporate entity information and BOD or Commissioner meeting document on (external database) and physical document per legal requirement
  • Organising travel Expense claim and visa support where required
  • Tracking number of training sessions and employees that need to be trained
  • Proofread/compare changes in final contracts
  • Document control: Coordinate on Legal documents for authorized signatures with Trademark team, PGCS, PepsiCo Corporate entities and JV Corporate
  • Upload training records to the anti-bribery training online system
  • Reminder; key person for Indonesia MU for use and maintenance of legal document databases and software as well as any system to be used for Personal Data Protection Project
  • Meeting & Scheduling Liaise with external stakeholders (e.g., law firms, bottler counsels and teams) and extensive diary management
  • Informal translation of legal documents from Bahasa Indonesia to English and vice versa
  • Prepare anti-bribery training certifications and attendance sign-in sheets for third
  • Create PO and Key in GR
  • Litigation: Coordinate/deliver/retain documents for courts/external counsels
  • Document control/ Document management: entering basic contract/POA for each contract/POA into legal database for filing/management keeping contract/POA database up-to-date; obtaining internal signatures; physical copies of contracts, using e signatures for signing where applicable; expiry reminder
  • Manage external Legal Budget
  • Trademark Documents and Legal Licenses/Permits status tracking
  • Centralize the signed agreements/POA/ legal policies for Indonesia MU to stake holders
  • Legal Training Plan and organize anti-bribery training & other Legal training (both and onsite) for all Indonesia MU, including assisting in updating decks, submitting attendance data for PEP employees and key third party vendors
  • Coordinate with the required business partners in organizing the mandatory AB
  • Track requests to Legal team and report data to support increased efficiency of Legal
  • Project Launch, system training & maintain data & document


Corporate Affairs

  • Filter and support the execution of events and sponsorship request from external stakeholders
  • Support ground works/key activities within the function
  • Prepare letters, correspondences, and documents submission to external stakeholders.
  • Organizing, scheduling and following up meetings and appointments, both internally and externally
  • Perform administrative works, including organizing a filing system

Requirements:

  • Strong word processing skills
  • Results Driven with attention to detail
  • Initiative and follow through, process oriented and an eye for details
  • Understanding of the Corporate Legal function, processes, systems and services
  • Strong administrative, analytical and organisational skills and abilities.
  • Proven communication skills in English – verbal and written
  • Strong Organisational & Planning skills
  • PC, system knowledge and capability.
  • Technical efficiency with database systems
  • Strong PowerPoint skills
  • Customer Service Orientation
  • Ability to find solutions and adapt
  • Preferred at least 1-2 years of experience in a corporate legal or controls or finance department
  • Proficiency in MS Office applications with excellent PowerPoint skills
