Job Description

General Administrative Duties
  • Submission of petty cash requests to the Finance Team and reconciliation of production petty cash
  • Opening of PO number
  • Perform other job-related duties as assigned
  • Tracking and maintaining leave and time off records
  • Arrange for courier services
  • New vendor creation
  • Liaison between the 3 offices as and when required
  • Maintaining office supplies and ensuring the work environment is clean and pleasant
  • Flight and hotel bookings for both employees and vendors (where applicable)
  • Travel requests to Hogarth – not sure what this entails
  • Coordinate usage of production suites
  • Opening of job numbers in FIDO and Adept
Hospitality across Hogarth Offices
  • Ensure clients are well attended to when they visit the office e.g. serving of drinks and snacks and ensuring the meeting rooms are set up properly prior to the meetings
  • Organising office events and parties
  • First point of contact as the receptionist, fronting all visitors both internal and external
Requirements
  • Attention to detail and problem-solving skills
  • Strong organizational skills with the ability to multi-task
  • Excellent time management skills and the ability to prioritize work
  • Proven experience as an administrative assistant
  • Excellent written and verbal communication skills
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • High level of initiative to be proactive
