APCO Worldwide is seeking an administrative assistant to join our Jakarta team. Candidates will be responsible for providing administrative support and guidance to staff. The Administrative Assistant will work directly with the Southeast Asia Team.
This role will be on a part time basis, 3 days a week and will be based in Jakarta which requires some in-person meetings to events or meetings. We are a fully flexible Company.
We are looking for a master multi-tasker with excellent communication skills who can work well in a fast-paced environment under tight deadlines. Candidates should be able to perform a wide range of administrative functions to help ensure operational success. They should have a high level of integrity and attention to detail and a willingness to learn APCO’s systems and procedures to ensure procedures are followed.
To be successful in this role, candidates should be highly flexible and willing to work under conditions of ongoing change while remaining respectful of colleagues and clients in a diverse workforce. They should be highly responsible, organized, and have a desire to anticipate team needs, be proactive and create a positive experience for others. They should also be a strategic thinker who is committed to finding solutions to ensure smooth operations and effective communications in Southeast Asia.
Responsibilities
- Acting as the administrative point of contact for Indonesia and will work closely with our Office Manager based in Singapore.
- Supporting clients, including project set up, invoicing, and reporting.
- Support with Indonesia’s event scheduling and preparation
- Provide onsite support with special events, as needed
- Provide additional administrative support for broader West Coast team, as needed
- Document creation/execution/processing
Qualification
- Strong communication skills and excellent interpersonal skills - both oral and written
- Solution-oriented with excellent problem-solving skills
- Passion for people and process improvement
- Proficient in MS Office 365 and Deltek Maconomy
- Prior experience working in a high growth, global organization is a plus
- Prior experience working in advertising, communications, PR, or consulting is a plus
