Job Description

The Coral Triangle Center is a foundation registered inIndonesia that trains marine resource managers andeducates all groups that interact with coastlines and reefswithin the Coral Triangle. With a focus on training andenabling local communities, the CTC supports marine protectedareas, coordinates a learning network for MPApractitioners, connects the public and private sectors oncoastal issues, and is developing a learning center of excellence intropical marine resource management.CTC continues to develop a unique and integrated learning program based on the needs of professionals and stakeholders to manage their marine natural resources. The applied training and learning programs are adaptive, innovative, and customized to abate threats, address constraints and promote sustainable practices.


COMMUNICATION & INTERPRETATION:

Attend to visitors and deal with inquiries on the phone and face-to-face. Supply information regarding the organization to the general public, clients, and customers.


Essential Function:

Attend to visitors and deal with inquiries on the phone and face-to-face. Supply information regarding the organization to the general public, clients, and customers.

Main Job Tasks and Responsibilities

  • Greet persons entering the organization
  • General administrative and clerical support
  • Direct persons to the correct destination
  • Deal with queries from the public and customers
  • Provide information to callers
  • Ensures knowledge of staff movements in and out of the organization
  • Schedule appointments
  • Answer telephone, screen, and direct calls
  • Organize meetings
  • Prepare letters and documents
  • Maintain appointment diary either manually or electronically
  • Receive and sort mail and deliveries
  • Take and relay messages
  • Tidy and maintain the reception area


TRACKING & COORDINATION:

  • Maintaininga network of other volunteer organizations to share best practices regarding registration procedures
  • Support the office coordinator with the coordination of public events, especially in maintaining guest lists, coordinating protocol for invitations, and supporting any media involvement.
  • Supporting the office coordinator in different administrative roles such as organizing meetings, coordinating visitors and appointments, and special events.
  • Support the office coordinator with the coordination of all processes related to documentation as required by the Government of Indonesia, including obtaining and renewing visas, residency permits, identification cards a.o.
