Position Overview:
We are seeking a skilled and detail-oriented Administrative Assistant to join our team.
The primary responsibility of this role is to manage the accounts receivable and accounts payable processes.
The successful candidate will be responsible for maintaining accurate financial records, coordinating payments, invoices, and ensuring timely collections.
The ideal candidate will possess strong organizational skills, a keen eye for detail, and the ability to work effectively in a fast-paced environment.
Responsibilities:
Manage the accounts receivable process by accurately recording and tracking customer payments and invoices.
Generate and distribute invoices to clients/customers promptly and accurately.
Follow up with clients/customers regarding outstanding payments and resolve any billing discrepancies or issues.
Maintain a systematic and up-to-date record of accounts receivable, including tracking aging invoices and initiating collection actions as necessary.
Handle accounts payable activities, including processing vendor invoices, verifying accuracy, and obtaining necessary approvals.
Prepare and process payments to vendors, ensuring adherence to payment terms and company policies.
Maintain financial records, both physical and electronic, in a well-organized and accessible manner.
Assist with general administrative tasks, such as answering phone calls, responding to emails, filing documents, and scheduling appointments.
Assist with special projects and other duties as assigned by the supervisor.
Qualifications:
D3 diploma or equivalent; additional relevant certifications or education is a plus.
Strong understanding of basic accounting principles and practices.
Proficient in using accounting software and MS Office
Excellent attention to detail and accuracy in financial record-keeping.
