Personal Assistant (PA) for Co-Founders


We are seeking an experienced Personal Assistant (PA) to provide dedicated support to our two Co-Founders on a daily basis. As a PA, you will play a crucial role in managing their schedules, coordinating activities, and ensuring smooth communication and workflow. The ideal candidate should have previous experience as a PA in the hospitality industry and possess exceptional language skills, including fluent English and Indonesian (Japanese language proficiency is highly desirable).


Responsibilities:


Calendar and Schedule Management:

Maintain and manage the Co-Founders' calendars, including scheduling appointments, meetings, and events.

Coordinate and prioritize daily activities to optimize their time and ensure efficient workflow.

Proactively handle any scheduling conflicts, changes, or adjustments.


Travel Coordination:

Arrange domestic and international travel logistics, including flights, accommodations, visas, and transportation.

Prepare detailed itineraries, meeting agendas, and travel-related documents.

Anticipate and address any travel-related needs or challenges.


Communication and Correspondence:

Serve as a primary point of contact for internal and external stakeholders, handling incoming communications with professionalism and discretion.

Draft and prepare emails, letters, reports, and other business correspondence on behalf of the Co-Founders.

Conduct research and gather information as requested to support decision-making and strategic initiatives.


Meeting and Event Support:

Coordinate and organize meetings, conferences, and events, both internally and externally.

Prepare meeting agendas, collate necessary materials, and ensure timely distribution to participants.

Attend meetings, take minutes, and follow up on action items to facilitate effective communication and execution.


Administrative Support:

Provide general administrative support, including managing documentation, filing systems, and office supplies.

Handle confidential information and sensitive documents with utmost confidentiality and discretion.

Assist with expense management, budget tracking, and other administrative tasks as needed.


Requirements:


Experience:

Minimum of 3-5 years of proven experience as a Personal Assistant, preferably in the hospitality industry.


Language Skills:

Expert fluency in English and Indonesian is essential. Proficiency in Japanese is highly advantageous.


Organizational Skills:

Excellent organizational and time management abilities to effectively prioritize tasks, manage multiple deadlines, and handle a fast-paced work environment.


Communication Skills:

Strong verbal and written communication skills with the ability to interact professionally and diplomatically with stakeholders at all levels.


Proactivity:

A proactive mindset with the ability to anticipate needs, identify potential issues, and take appropriate action to ensure smooth operations.


Confidentiality:

Demonstrated ability to handle sensitive information with discretion and maintain strict confidentiality.


Adaptability:

Flexibility to adapt to changing priorities, work independently or as part of a team, and handle unexpected situations with composure.


Technology Proficiency:

Proficient in using Microsoft Office Suite and other relevant software for scheduling, document preparation, and communication.


Professionalism:

Impeccable professional appearance, demeanor, and interpersonal skills.


Problem-Solving:

Strong problem-solving skills and the ability to think critically and make sound decisions under pressure.
