Position : Finance, Accounting and Tax Department Head

Reports to: Chief of Finance Officer

Scope of Work :

Reporting directly to the Chief of Financial Officer (CFO), the FAT Dept Head will be form part of the team responsible for the smooth execution of the day-to-day financial operations, including petty cash management, accurate and timely payments and cost bookings, systematic filing and retrieval system of documents, periodic reporting, tax payment & filings, and project planning. The FAT Dept Head will be responsible for performing a range of financial tasks to support efficient office operations, including but not limited to the following:

1.Payment Operations and Financial Reporting:

• Managing payment operations are executed in a timely manner while ensuring all finance supporting documents are complete and valid in line with the 1000 Days Fund’s finance policies.
• Managing invoicing, administering tax and reporting.
• Communicate with bank and treasurer in relations to banking activities
• Responsible for generating monthly financial reports by recording all bank transactions into the accounting systems.
• Ensure that transactions are properly coded, and if applicable, expense allocations are properly made.

2.Project and Grants Management:

• Collaborate with Head of Departments and related managers to support monitoring the project spending, forecasting, and other project’s related activity.
• Managing team in preparing activities related to the development of the research project and the strategic direction of the organization.
• Manage grant disbursement for multiple projects by ensuring all the documentations comply with the donor’s requirements.
• Managing system of financial control that meets donor requirements for transparency and responsible management of resources;

3.Planning, Budgeting and Monitoring

• Prepare monthly budget versus actual report, in donor & local currency, for assigned projects and highlight variances to respective budget holders and ensure corrective action is taken.
• Manage budget shifts, participate in budget review meetings..
• Managing budget performance, analyze variances, and provide actionable recommendations.
• Ensure accurate and realistic financial forecasts to guide decision-making.
• Participate in monthly, quarterly, and yearly planning and reporting.
• Support CFO in creating project budgets in the system, budget revisions if required, and financial closure of a project.
• Monitor budget expenditures and maintain a proper record of approved project budgets and their revisions.

4.Finance & Tax Compliance

• Collaborate with auditors during annual audits to facilitate a smooth and transparent audit process.
• Liaise with Tax consultants on data requests from Tax Authorities.
• Maintain tax recapitulation, finance tracking system, and support the audit process.
• Ensure compliance with accounting principles, relevant regulations, and reporting standards.
• Smooth implementation of the company's routine administrative obligations in order to fulfill the obligations of tax regulations.
• Manage accurate financial statements, reports, and tax filings.

5.Audit & Financial Risk Assessment

• Identify potential financial risks and vulnerabilities to the organization's financial health.
• Provide financial data during the fieldwork done by internal and external auditors.
• Maintenance of audit action list responses and tracking of follow up actions from Financial and/or Tax audits.
• Develop risk mitigation strategies and internal controls to address identified risks.
• Monitor and assess the effectiveness of risk management measures.

6.Financial Control & Data Analysis

• Managing documents and compliance checked for all financial transactions
• Proficiency in using data analysis tools to extract meaningful insights from financial data and inform decision-making
• Preparation/Update of monthly salary report (salary, pension, health insurance, personal income tax).
• Monitor and review financial transactions, ensuring accuracy and completeness.
• Managing and reviewing regular advance reports and requests.
• Develop and implement financial control procedures to safeguard the organization's financial assets.
• Perform other related duties as requested by the CFO.
• Reconcile financial discrepancies and irregularities, taking corrective actions as needed

B. Qualifications and Education Requirements:

• Excellent PC skills and experience including SAP, Excel and Powerpoint
• Sensitivity towards gender, sexual, ethnic/race, cultural identities.
• Exceptional communication and interpersonal skills, including oral and written
• Certified Public Accountant (CPA) is preferable
• Understanding of P&L Structure/ Financial Statement.
• Preferably have Tax Certification (Brevet A&B)
• Require strong communication and presentation skills
• 8-10 years’ experience in accounting, tax or finance
• Fluent at English, both spoken and written.
• Good sense of business acumen and analytic and high initiative and curiosity level.
• Preferably / willing to be based in Bali
• High degree of accuracy with attention to detail with demonstrated ability to meet strict deadlines
• Demonstrated capacity to effectively manage multiple and frequently changing priorities
• Ability to work within a fast-paced, multi-cultural environment
• Bachelor’s degree is mandatory and preferably in Finance or other relevant discipline.
• An understanding of and affinity with 1000 Days Fund vision, mission and values
