Job Title
Facility Coordinator
Summary
This position is responsible for ensuring client facilities, equipment, offices/rooms, and systems are maintained, cleaned, repaired, and serviced in accordance with client standards and requirements. He/she will also be managing the facilities as well as being the first point of contact for all visitors and internal staff. This is a management role that may supervise individuals, building staff, operations, and coordinate the various functions.

Essential Functions and Responsibilities
  • Respond promptly to requests for office equipment maintenance, repairs, cleaning needs, etc. from tenant and for the implementation of ongoing contract programs to address and resolve needs and problems
  • Maintain the facility purchase order system. As well as service calls as required
  • Prepare budgets, expenses reports (monthly or quarterly), contracts, expenditures and purchase orders related to the facility(s) or complex as directed
  • Monitor and maintain the facility maintenance work order system and prepare monthly reports for facilities manager on status of occupant’s work orders.
  • Provide full administrative support, including phone support, typing, reports, filing and distribution of correspondence
  • Compile necessary information to ensure facility management services reports are completed accurately and on time as required (i.e. cleaning service, waste management, interior exterior, indoor plant, catering, pantry supplies, workplace management, parking, pest control, sanitary & hygiene, IT and engineering matter (AC, electrical, electronics, office equipment maintenance, plumbing, fire safety system, civil work, etc).
  • Ensure that day-to-day operations of the facility(s) including janitorial, security & safety, engineering and general maintenance and helps to ensure these are carried out in a consistent conduct with C&W policies and ownership directives. This includes assisting with the management of contracts and vendors
  • Support the implementation and management of all maintenance programs.
  • Promote and foster positive relationships with tenants and clients and track service calls as required
  • Any other ad hoc tasks as assigned by the company and/or client.
  • Manage schedule and coordinate meetings/special events as requested
  • Ensure office is stocked with office (including pantry) supplies and other required items to maintain the office
Key Skills And Capabilities
  • Strong communication and presentation skills
  • Ability to present information to a diverse audience in a concise and thorough manner
  • Knowledge of facilities management and best practices
  • Ability to lead and manage teams and projects
  • Working knowledge of Microsoft Office, particularly Excel, Power Point and Word or other application
  • Ability to effectively manage multiple tasks and projects simultaneously
  • Effective analytical techniques and interpersonal techniques
  • Must be a strong individual contributor and team player with a “can do” attitude
  • Ability to work effectively under pressure
Professional Experience
  • Minimum 3 years experiences in Facility Management
  • Excellent communication in English
  • Bachelor's degree in management or related disciplines areas preferred
  • Extensive exposure to FM operations in Jakarta and through project assignment
  • Proven experience in project budgeting, contract negotiations and scheduling
