Job Description

If so, then you might be the match for our role as Project Administration and Finance Assistant based in Indonesia.


What you can expect:


As a Project Administration and Finance Assistant, you will play a key role in supporting project monitoring and reporting to donors. Therefore, you would need to make sure all the supporting documents from project partners have been completed according to the programme requirements. Your diligence, accuracy, and your experience in working with projects will help you a lot in the job. Finally, your communication skills will help you establish trusting relationships with the project partners and project team.


Working with us is never routine so the first year you can expect the following areas to be central to your work.


  • Support and coordinate with the Lead Project Manager on relevant administrative tasks, such as reporting to the project Funder, internal reporting, and documentation
  • Responsible for managing the local financial management of the project including tasks such as collecting receipts and relevant financial documentation, handling invoices, and supporting the Lead Project Manager on financial matters whenever needed.
  • Work closely together with the Project Finance Manager in Preferred by Nature on project budgets, internal financial reporting, reporting to the Funder etc.
  • Collaborate with the Project Secretary and the project team on scheduling and arranging activities throughout the project including meetings, travels, field works and events.
  • Assist and coordinate with project partners on financial issues and collect the needed information and documentation for reporting to the Funder.


Your first year with us:


Within three months, you will:


  • Maintains the financial record for partners to be available both on shared and internal storage.
  • Develop a good relationship with project partners' financial officers.
  • Ability to quickly learn and become familiar with our IT system - Salesforce and the Programme requirements, the budget, financial reporting for our project partners.
  • Support our project team in the procurement process and travel arrangements as well as preparing Expense Reports for the payment to vendors.


Within six months, you will:


  • Support project budget monitoring.
  • Export monthly timesheets from our IT system - Salesforce for all project teams and support in reviewing the time reported.
  • Expenses verification of the supporting documents and reported expenses against eligibility criteria of the funding programme.
  • Establish regular contact with project partners to ensure timely delivery of the reports and supporting documents.
  • Have established good relations with project partners' financial staff.


Within one year, you will:


  • Able to assist and communicate with the project partners on the budget and supporting documents for their planned activities.
  • Work independently on reviewing financial documents from project partners according to the Programme requirements.
  • Be taking steps on your career path in Preferred by Nature, becoming a more and more central part in our finance and project operation.
  • Review the Expense Report submitted by the Preferred by Nature project team and ensure they have put the correct remarks and activity code.

Important that you:


  • Excellent in written and verbal communication in English and Bahasa Indonesia
  • Have bachelor’s degree in finance, accounting or other relevant education.
  • Strong general understanding of administrative IT systems, and the ability to learn to work with new programs fast.
  • Minimum 2 years’ experience in financial administration
  • Strong computer knowledge (Microsoft word, Excel, Power Point)

Would also be great, but not necessary, if you:

  • Have experience in working on projects funded by EU, USAID, UNDP etc.
  • Familiar with IT system - Salesforce
