Food & Beverage Secretary | Ayana Midplaza, Jakarta

AYANA Hospitality is currently seeking a Food & Beverage Secretary to join our team at AYANA Midplaza, JAKARTA. As a Food & Beverage Secretary, you will be responsible for providing administrative support to the Food & Beverage department, ensuring that all operations run smoothly and efficiently. The ideal candidate has excellent communication and organizational skills, is able to multitask, and has a passion for the hospitality industry.

Responsibilities

• Assist with the coordination of events and special promotions within the Food & Beverage department
• Maintain inventory of food and beverage supplies and equipment
• Answer phone calls and respond to inquiries in a professional and timely manner
• Create and maintain spreadsheets, databases, and other records as needed
• Schedule appointments and meetings for the Food & Beverage department
• Coordinate with vendors and suppliers to ensure timely delivery of goods
• Assist with the preparation of reports, presentations, and other documentation
• Administer attendance record and coordinate with Human Resources related to employee attendance

Requirements

• Detail-oriented with a high level of accuracy
• Strong organizational, communication, and interpersonal skills
• Proficient in Microsoft Office, including Word, Excel, PowerPoint and related HR system i.e Sunfish, Talenta, etc
• Ability to multitask and work well under pressure
• Knowledge of basic bookkeeping and accounting principles
• Ability to work independently and as part of a team with minimal supervision
• Prior experience in an administrative support role, preferably in the hospitality industry
