This role could be just what you have been looking for. Based out of our Bali office you will be working with the industry recognised Microsoft Global Partner of the year 2022.
As Project Support Officer, you are responsible to help the PMO Practice Lead to understand and manage governance across our Project & Managed Services Portfolio.
You will conduct weekly activities such as timesheeting and project reviews to ensure that our systems have all the correct information entered, and any outliers are documented, and escalated appropriately.
You will work closely with the PMO Practice Lead and take direction of improvement areas and need for process change within the business. You will also assist Project Managers & People Managers within the organisation to book in annual leave, professional development and other general internal activities into the resourcing system.
The role
Key Responsibilities
  • Report on Status report checking (i.e. are Project Managers missing reports) and following them up
  • Supporting Delivery Governance
  • Providing recommendations to improve efficiency and performance.
  • Reviewing weekly timesheets submitted, ensure all timesheets have notes
  • Improving our internal operations such as the processes, procedures we use to ensure our services remain efficient.
  • Auditing our project database and ensuring the organisation is working to a high standard.
  • Manage reporting for time off in lieu, and annual leave / sick leave for our international staff.
  • Create monthly reports on how the delivery team is performing.
  • Manage the internal resource and timesheeting system; making sure that our people's information such as users, skills etc is kept to up to date.
  • Inputting leave, professional development, and other internal activities into the resourcing system
  • Review monthly subcontractor invoices.
  • Review end of month tasks dashboard and ensure all exceptions are resolved or escalated.
  • Ensure our project management tool is kept up to date and compliant, and liaising with Project Managers where there are data gaps.
Skills And Experience
  • Excellent organisational skills and strong attention to detail whilst working in a fast-paced environment.
  • Degree certified in Business administration or Project Management (highly desirable)
  • Strong interpersonal communication skills with the ability to work across international teams.
  • Previous experience in IT Professional Services and M365 projects (highly desirable)
  • Ability to work collaboratively – e.g. use collaboration tools and strategies to engage diverse audiences in solving problems and improving services, work as a supportive and cooperative team member, step in to help others when workloads are high etc.
  • Excellent customer service skills and stakeholder relationship management skills
