**Key Responsibilities:**
1. **Administrative Duties:**
* Manage emails and calendar appointments.
* Coordinate meetings and conference calls.
* Draft and send out correspondence.
* File and organize digital documents.
* Update and maintain client databases.
2. **Client Support:**
* Schedule property viewings for clients.
* Prepare and send out informational packages.
* Assist with the client onboarding process.
* Answer client inquiries via phone or email.
3. **Transaction Management:**
* Assist in the preparation of real estate documents such as contracts, leases, and disclosures.
* Coordinate with title companies, inspectors, appraisers, and other real estate professionals.
* Keep track of transaction timelines and ensure all deadlines are met.
* Organize and manage escrow documentation.
4. **Research:**
* Conduct property searches based on client criteria.
* Compile comparable market analyses.
* Research recent sales and listings to keep updated on market trends.
* Check local regulations and zoning rules for specific properties.
5. **Financial Tasks:**
* Assist with invoicing and tracking commissions.
* Manage expenses and receipts.
* Prepare basic financial reports or summaries for the agent or team.
6. **Communication:**
* Act as a liaison between real estate agents, clients, lenders, home inspectors, and other stakeholders.
* Handle phone calls and relay messages promptly.
* Ensure effective communication between all involved parties.

**Requirements:**
* Proven experience as a real estate assistant or in a similar role.
* Familiarity with real estate software and MLS.
* Strong organizational and multitasking abilities.
* Exceptional written and verbal communication skills.
* Proficiency in Microsoft Office Suite and other common software applications.
