Team Assistant Support
Calendaring
Responsible for managing complex calendars for Principals, scheduling internal and external meetings, communicating with clients and support staff as appropriate.
Coordinating internal meetings; interviews, staff meetings, etc.
Travel Arrangement
Coordinate all travel, including flights, accommodation, cars & visa applications working with our corporate travel agent & utilising online travel tools
Financial Administration
Prepare monthly timesheets for each assigned Principal
Prepare all expense reports for Principals
Preparation of office invoices using the iProcurement system
Teaming
Provide coverage for TAs when out of the office to ensure seamless support to Principals
Participate in team meetings and projects with an eye to improving processes and the overall performance of the TA team.
Other Admin
All admin support for Principals, including but not limited to meeting room bookings, printing & binding and other admin requests
Office Services Support
Working with Indonesia Office Manager to ensure all office service support is provide to a high standard, this will include but not limited to:
Assist with processing of invoices for office services & IT department
Assist with booking couriers
Assist with booking meeting rooms for visiting Partners, Consultants or clients
Maintain and distribution of office phone lists
Support of our clean desk policy – monthly clearing up of our Consultant hot desks
Assist with general maintenance & repair of office equipment
Provide cover for Office Service Administration during holiday or sick leave
Responding to other adhoc, business related requests in support of the Indonesia business
CRM support
Entry into CRM of all Partners business cards, ensuring accuracy of data
Update & checking of client’s details in CRM ahead of Marketing distribution
Working closely with Indonesia Office Manager to ensure CRM for Indonesia is updated
